Time Management Hacks for Busy Humans Who Still Want a Life
Welcome back to University of Why, the podcast dedicated to helping you uncover your true motivations, purpose, and beliefs. I’m your host, Dr. Sonia Chopra, and today we’re diving deep into something that used to be my biggest struggle: TIME.
Raise your hand if you’ve ever felt like there’s just not enough time in the day, the month, or heck—even the year. Yep, my hand’s up too. Between managing a dental practice, building an online business, raising three kids, being a present wife, and still craving some downtime, I’ve had to become a total master at reclaiming my schedule.
Today, I’m sharing my top 10 time-saving strategies that transformed my life. Let’s jump in.
1. Know Your Zone of Genius
First things first: Focus on what you’re amazing at and what lights you up, then delegate or eliminate the rest. Ever read the book Traction by Gino Wickman? It’s a game-changer. Using the “Delegate and Elevate” exercise from this book, I realized my weekends didn’t need to vanish into housecleaning. Hiring a cleaning service instantly gave me back eight precious hours a week, time I used to connect with family, read, or rest.
Here’s a quick action item: Grab a paper, draw four quadrants, and label them as follows:
- Top left: Tasks you love and are great at
- Top right: Tasks you like and are good at
- Bottom left: Tasks you’re good at but don’t like
- Bottom right: Tasks you dislike and aren’t great at
Your goal? Move tasks out of all but the top-left quadrant. Trust me, it’s liberating.
2. Delegate Decision-Making
Feeling decision fatigue? Empower your team to make choices within their lanes. Yes, this requires trust—something I initially struggled with—but the payoff is massive. When your team feels empowered, magic happens.
3. Templates and SOPs (Your New Best Friends)
Stop reinventing the wheel! Standard Operating Procedures (SOPs) save you from repeated headaches. Whether training a team member at your practice or teaching someone how to fold towels exactly how you like (yep, that’s me!), documenting processes frees your mind and your calendar.
4. Automate, Automate, Automate
Automation is key. Hate uploading bank statements or paying bills manually? Automate it. Small automations add up, freeing your mind and schedule for things you actually enjoy.
5. Hire a Personal Assistant or VA
A trusted assistant can help reclaim five to ten hours weekly. Whether it’s managing your inbox or coordinating your family’s schedule, delegating these tasks clears significant mental and emotional space.
6. Batching and Theming Your Days
Grouping similar tasks together minimizes mental switches. Wednesdays are my meeting days, Mondays and Tuesdays I focus on patients, Thursdays are for creativity, and Fridays? Fun and relaxation. Find your own rhythm and watch your efficiency soar.
7. Create a Strategic To-Do List
I love lists. Every Sunday night, I map out tasks for the week, batching similar items together and scheduling follow-ups in advance. It’s about prioritization, flexibility, and giving yourself grace if things shift. Your to-do list should support, not stress you.
8. Prioritize and Learn to Say “No”
This was a tough lesson for me. But saying “no” to anything that’s not a full-body “yes” opens up space for what truly matters. Limiting speaking engagements, for example, meant every “yes” felt genuinely aligned and fulfilling.
9. Charge Your Worth
Align your business model with your true value. When I dropped low-reimbursement insurance plans, it transformed my practice. Now, working fewer days actually generates more revenue, giving me back invaluable time and energy for myself and my family.
10. Redefine Productivity
Finally, productivity isn’t about constant hustle. It’s about integrating rest, reflection, and play. The best insights often come during downtime. Don’t underestimate the power of rest; it’s the fuel for creativity and rejuvenation.
